The clock starts the day your complete request arrives and counts US business days; the packet is due by 5 p.m. Eastern on the last day. Need it faster? Expedited delivery within 1 business day adds $40, including on a free first packet. A payer's 72-hour expedited window, or a peer-to-peer call set for tomorrow, is shorter than any delivery option. File the expedited appeal or book the call with the payer first, then choose 1 business day delivery (+$40) for the brief and the written appeal.

You are invoiced monthly for packets delivered, you don't pay for a packet you can't use, and every payment can be refunded in full within 30 days. Prices in USD; Paddle.com, our Merchant of Record, adds sales tax or VAT where it applies. See the refund policy.

How it works

From the denial notice to a packet your clinician reviews and signs.

  1. 01

    Send one denial

From your ClaimParrot account or the form below: the payer's reason and a de-identified clinical summary. About 5 to 10 minutes, no files, no patient details.

  2. 02

    ClaimParrot builds the packet

The packet engine routes the denial by care setting, review stage and payer and drafts the packet; a person checks it against the payer's reason before it is delivered to you.

  3. 03

    Your team finishes it

Fill the bracketed placeholders, attach the records on the checklist, and have your clinician review, sign and submit. Nothing goes to the payer from us.

  4. 04

    Tell us what happened

Share the outcome. If the payer upholds the denial, the deadline plan already names the next level, and the next packet starts from this one.

What to send

Enough to argue the case. Nothing that identifies the patient.

Send

  • The payer and plan type, care setting and review stage
  • The denial rationale, copied from the notice
  • The criteria the payer cited, if any
  • Diagnoses, scores, risk, impairment and treatment history
  • Relative timing: day 3, two weeks ago, after the second admission

Keep at the practice

  • Names, member, claim or record numbers
  • Dates of birth and calendar dates
  • Addresses, phone numbers and email addresses
  • The notice itself and the medical records
  • Anything else that could identify the patient

Send a denial

One denial, 11 answers.

Most are taps. The packet comes to your work email within 3 business days (1 business day if you choose expedited).

11 required answers, most of them taps. With the notice open, plan on 5 to 10 minutes; the two text boxes take most of it. Optional questions are marked and can be skipped.

Behavioral-health denials only: mental health, substance use and ABA. Not medical-surgical, dental, pharmacy or property-and-casualty claims.

A person reads every request and replies; not an autoresponder. By sending, you agree to the Terms and Privacy Policy.

An email with your request reference follows as soon as the request arrives. Questions first? Write to hello@claimparrot.com, without patient details.

Before release, a person checks every packet against a published release checklist. It is a quality check, not clinical review: your clinician reviews and signs.

Questions

Before you send a denial.

The ClaimParrot packet engine drafts it from your summary: the letter, the evidence checklist and the deadline plan. Automated checks reject a draft that invents a deadline, claims enclosures you did not send or promises an outcome. Then: A person on the ClaimParrot team works through a release checklist before any packet is delivered: every clinical fact matches your summary, nothing is invented, placeholders stay in place of patient details, the payer's stated reason is answered point by point, and no date appears that you did not give. It is a quality check, not clinical or legal review: your clinician is the clinical reviewer, and signs. The full release checklist is on the sample packet page.

The service runs without a business associate agreement, so it accepts de-identified cases only. Leave out names, ID numbers, calendar dates and contact details; the form checks for common identifiers and stops the request if it finds one, but you are the last check. The letter comes back with placeholders such as [Member name] and [Member ID] that your team fills in.

No. Your team submits it, with the records the checklist names, because the appeal has to carry the patient's identifiers and your clinician's signature. Several payers also expect a person at the practice to submit it.

$29 appeal packet: medical-necessity, prior-authorization, coding and benefit denials, including outpatient therapy, psychiatry and ABA. $99 level-of-care packet: level-of-care or continued-stay denials in IOP, PHP, residential, inpatient or detox programs. Your first packet is free (the expedited fee still applies if you choose it), and you are invoiced monthly for packets delivered. If a packet can't be used, you don't pay for it. Programs with level-of-care denials every week can take Appeal Desk 10 at $590 a month for up to 10 packets.

3 business days for a single packet, 2 business days on Appeal Desk, or 1 business day for +$40. The clock starts the day your complete request arrives and counts US business days; the packet is due by 5 p.m. Eastern on the last day. A payer's 72-hour expedited window, or a peer-to-peer call set for tomorrow, is shorter than any delivery option. File the expedited appeal or book the call with the payer first, then choose 1 business day delivery (+$40) for the brief and the written appeal.

Behavioral-health denials across IOP, PHP, residential, inpatient, detox, outpatient and ABA, for commercial plans, Medicaid managed care and Medicare Advantage: medical necessity, level of care, continued stay, prior authorization, coding and benefit denials.

No. Nobody can promise an outcome. The packet makes sure the appeal answers the payer's actual reason, cites the criteria they used and points to the records that support it. It is not legal or medical advice.

Yes. Teams with steady volume usually move to an Appeal Desk plan, or to the 30-day design-partner pilot if they want to draft packets in ClaimParrot themselves.
