Turnaround times are targets, as our Terms say: the clock starts the day your complete request arrives, counts US business days, and aims for 5 p.m. Eastern on the last day. Need it faster? Expedited delivery, with a 1 business day target, adds $40, including on a free first packet. A payer's 72-hour expedited window, or a peer-to-peer call set for tomorrow, is shorter than any delivery option. File the expedited appeal or book the call with the payer first, then choose 1 business day delivery (+$40) for the brief and the written appeal.

Nothing is due now. Paid packets are invoiced through Paddle, our Merchant of Record, once our Paddle account is open. We won't charge you before then, and we'll email you the amount first. From then on you are invoiced monthly for packets delivered. If a delivered packet can't be used for the denial you sent (for example, it answers the wrong denial or route), tell us within 30 days of delivery and we won't charge for it, or we'll refund it. From a 42 CFR Part 2 program? Nothing in a request may identify the patient as having or having had a substance use disorder, and a patient's Part 2 consent does not make it permissible to send ClaimParrot identifiable information.

When your team files the appeal, disclosing the patient's records to the payer needs the patient's written Part 2 consent (a single consent for treatment, payment and health care operations under 42 CFR 2.33 can cover it; a minor who consented to treatment alone signs it themselves, 42 CFR 2.14), and each disclosure must carry the notice required by 42 CFR 2.32.

Before anyone reads the draft, automatic checks reject a letter that makes up a calendar date, says records are enclosed when you sent none, promises payment, quotes criteria text you did not give us, or cites a federal statute or regulation you did not give us, apart from the appeal rules of the plan's own program and a short list of federal appeal and parity rules we keep (such as the ERISA claims rule, 29 CFR 2560.503-1). They don't catch everything, so a person at ClaimParrot and your clinician check the rest, and a packet goes out past a failed check only for a recorded reason. Then: A person at ClaimParrot works through a release checklist for every packet before it is released: every clinical fact matches your summary, nothing is invented, placeholders stay in place of patient details, the payer's stated reason is answered point by point, and the letter gives no date you did not give. The packet guide counts a working deadline from the days left you reported; confirm it on the notice. ClaimParrot accepts only information de-identified under 45 CFR 164.514(b), which is not protected health information, so it does not sign business associate agreements. Your organization de-identifies each request before sending it; the form screens for common identifiers, but it is a backstop, not the determination. Leave out all 18 Safe Harbor identifiers of the patient and of relatives, employers or household members; names, ID numbers, dates other than the year and contact details are the common ones. The letter comes back with placeholders such as [Member name] and [Member ID] that your team fills in.
